Panelists:

Kathy Brown is a Records Management Consultant with Russell Investments. She provides records management expertise to Russell’s global enterprise to ensure adherence to legal and regulatory compliance and best practices. Kathy consults to improve the effectiveness and efficiency of records systems by creating, advising and training on record policies and procedures. She develops and delivers training programs to assure that all company personnel with records management responsibility are provided with the appropriate information and guidance to aid in their compliance to record keeping regulations. She contributes to the strategic direction of the Corporate Records program.   

Shelby Miklethun, King County has been the Public Records Officer for the King County Executive Branch since December 2013.  She has worked for King County for over six years and has served as a public records coordinator for the King County Department of Adult and the Juvenile Detention and King County Department of Executive Services.  She is a member of the Washington Association of Public Records Officers.  Shelby earned her Bachelor’s degree in Urban Studies from the University of Washington in 2005 and her Master of Public Administration degree from Seattle University in 2012.

Speakers Profile:

There are two entrances to the Union Station Parking garage, which stretches three blocks underground along Fourth Avenue S. The south entrance is just north of the 4th Avenue exit ramp from I-90. The north entrance is closest to Sound Transit's offices in Union Station (this entrance is immediately across from the Weller Street Pedestrian Bridge). To reach the main building entrance and Sound Transit offices, walk north along Fourth Avenue S to the Jackson Street side of Union Station.

US Government still struggles with recordkeeping issues!

In November 2011, President Barack Obama instructed by Presidential Memorandum to reform records management policies and practices. He instructed the agencies to “develop a 21st-century framework for managing federal records and information.”

 

A new report by the National Archives and Records Administration (NARA), the US government’s recordkeeper, raises serious questions it says most agencies are still at “high” or “moderate” risk of mishandling or prematurely disposing of crucial records and information. The report reiterates main deficiencies as the lack of senior management support, inadequate resources and funding, and a broad confusion about how to implement and measure records management safeguards.

ARL/SAA Mosaic Program: Tuition/ Scholarship

Association of Research Libraries/Society of American Archivists' Mosaic Program

REMINDER: Applications are due on Friday, August 23, 2013

This program promotes much-needed diversification of the archives and special collections professional workforce by providing tuition assistance, practical work experience, mentoring, career placement guidance, and leadership development to emerging professionals from underrepresented racial and ethnic minority groups. An important objective of the program is to attract and retain individuals who demonstrate excellent potential for scholastic and personal achievement and who manifest a commitment both to the archives and special collections profession and to advancing diversity concerns within it.

all application materials must be received by ARL by the August 23rd deadline. 

This program is funded by a generous grant from the Institute of Museum of Library Services (IMLS) as well as ARL and SAA.

Snohomish County Records Technician Temporary

Records Technician in Snohomish County’s Planning and Development Services (PDS) department.  The assignment is full time through the end of the year.   

 

Snohomish County is interested in attracting someone who is a self-managing high performer, accountable for their actions, and dedicated to providing superior customer service.  They need to be excited about change and learning,  innovative, organized, exceptionally customer-service oriented, and have a passion for public service.

These are the key duties for the assignment:

 

1.       Work with 2015 Plan Update Project Management team to implement record management and indexing protocols for paper and electronic records, including emails. Implement written procedures for managing, storing and destruction of electronic and paper records associated with the development of the 2015 Plan Update that are consistent with the Public Records Act, the state Records Retention Schedule and any relevant County procedures and protocols.

2.       Maintain the systems for records management for this large project in the long range planning division.  This will require reviewing and indexing records, and destroying records consistent with the state Records Retention Schedule and maintaining the legislative record.

3.       Serve as a member of the 2015 Plan Update Project Management team, receiving day-to-day direction from the project manager for the 2015 Plan Update. Provide record management and indexing assistance to 2015 Plan Update project team members.

4.       Coordinate with Records Specialists to research and provide information for public records requests associated with the 2015 Plan Update.

5.       Coordinate with PDS records management staff, records management staff in other departments and County agencies.

6.       Assist records room staff with scanning, storing, indexing, copying, researching and provision of information pertaining to land use and permit records and maps as may be requested by County staff or by the general public.

7.       Assist other project managers with records management and record indexing as requested.

 

Strong skills in electronic file management (Word, Excel, Outlook, and ADOBE) are preferred. Additional experience with MSProject and WordPress would also be beneficial.

 

 

The salary range for a full-time Records Technician is $3,181.14 - $3, 868.68 per month

Speakers Profile: 

Dean Koga, works for Stoel Rives LLP as a Records Supervisor for the Seattle, Minneapolis and Anchorage offices. He has been member and volunteer for the Greater Seattle Chapter of ARMA and ARMA International since 1989. Koga has served as Chapter President, Region Coordinator, on the Region Conference Committee, and on the ARMA International's Conference and Program committees. 

Vanessa Ressler is the Records Program Manager at the Port of Seattle. She began working for the Port of Seattle in September 2000. Prior to working for the Port, she worked in the medical records field for over twenty-five years. Vanessa worked at two hospitals in Oregon and a home health agency here in Washington and currently manages the Port’s records program and is the Port’s Records Officer and oversee the public disclosure process.
Ian Smith is the technology manager for the Legislative Department at the City of Seattle. He has over 20 years experience in technology including 10 years in healthcare management. Ian lives in the Roosevelt neighborhood with his wife and 3 children.

Tim Westhoff CRM has been the Records Manager at Capital One ShareBuilder Inc. since 2005. He manages the daily archiving of millions of electronic brokerage records and emails. Tim has a History degree from Seattle University and a Master’s in Library Science from the University of Washington. He received his CRM in 2005. Tim has been a member of the Greater Seattle ARMA chapter since 1997 and has served as a board member. He lives in Burien with his wife and two daughters.

Lynda Wright, is a Senior IT Project Manager with the Port of Seattle for five years. She has assisted with the deployments across the Port’s 56 departments in several Microsoft Products: Windows 7, Office 2010 and SharePoint 2010. She currently focusing with SharePoint is adding the Records Center component from the IT side of the house and working closely with the Records Program Manager to meet the requirements of the business. Prior to coming to the Port, she was a Program Manager for the last fifteen years in the Telecommunications field for ATT, Cingular, T-Mobile and Comverse technologies. She earned my Master’s degree in Project Management in 2001.

    Region Message: Spring is Here!

    Happy Spring in the GNW Region!

    The sun finally arrived in Seattle and I hope you are enjoying it. For some of you May is your last meeting, for others it is June, but either way the 2012-2013 ARMA year is coming to an end. I hope you have had a great year full of educational sessions and networking opportunities.

    This year we’ve focused on some of the building blocks that you in your profession. We’ve talked about ARMA, reading, technology and a variety of other blocks. But we haven’t covered one of the most essential building blocks…YOU. Yes, you are an essential building block to not only your own career but to others as well. From seeking out educational opportunities networking to researching issues and case studies and applying them in your organization, you are vital to yourself and others.

    Your support of the profession, of advancing records and information management in your organization and taking the time to share your experiences helps us all in our own building blocks. From the “newbie” who brings a fresh insight into the profession to the seasoned veteran who brings experiences to share (and sometimes commiserate with!) with others, each of us helps support each other.

    So I want to take a few minutes to say THANK YOU! Thank you for sharing your experiences, thank you for continuing to support ARMA and the records management profession and thank you for being you!

    I hope everyone has a wonderful summer, although there won’t be regular chapter meetings during the summer months, ARMA International has several webinars that members can view. If you find yourself missing those educational sessions, check one out!

    And of course there is still the Great Northwest Region Leadership conference June 21st and 22nd in Olympia, Washington. Any member of the Great Northwest Region is welcome to join us, more details will be sent out in May.

    Happy Spring in the Great Northwest Region!


    This year our theme has been on building blocks and Andrew and I have mentioned several throughout our Region messages. You may have noticed that last month we “skipped” a region message about building blocks. I will admit that I had some large projects going on both at work and home and time just got away from me.

    One of those projects was for my children’s school. For the past three years I have coordinated an event called the Book Rodeo. Students bring in books that they have outgrown, those books are then sorted by age, content, etc. and during the Book Rodeo students can select “new” books to read from those turned in. The main purpose is to encourage reading and introduce the students to books they may have never considered before. It’s great fun to watch a child find that one book that brings a smile to their face and excites them about reading. Why do I do this? Well, for one, it allows me an outlet for my organizational skills (yes, I do enjoy putting order to chaos every once in a while) but mostly it’s because I love to read!

    Which brings us to one of the most fundamental building blocks of all: reading. While networking can bring real life experience to a project, sometimes you just need to read the technical manual to really understand something. There are a tremendous amount of resources from the ARMA book store. New titles are added on a regular basis, but the fundamentals are also there. ARMA produces the Information Management journal as well and it is also a great resource for articles on current trends. The latest edition is available via their website at http://imm.arma.org/ (easy to read on your Kindle or iPad on the bus!).

    Did you know that your chapter may also be a reading resource for you? Many chapters have lending libraries and loan books out to chapter members. I was recently at the Puget Sound Chapter meeting and they had a number of items from their library available for members to review and/or check out. It’s a great way to share the information if you have a limited budget for resources at your office.

    Build up your reading blocks, see what is out there and if you have a great book to recommend to fellow RIM professionals, offer to write an article for your newsletter. And let me know, I’m always looking for a new read – RIM related or not!
    FYI – The Great Northwest Region LEADERSHIP Conference is being held Friday June 21st – 22nd. Our hosts will be the Puget Sound Chapter and they are hard at work looking for a location in the Tacoma/Olympia area. Any chapter member who is interested is encouraged to come! More details will be sent out once the location is confirmed.

    Conference Education Monitor Applications, due April 17

    Want to ARMA International, but can't afford the price consider becoming an Education Monitor!

    Conference Education Monitor Applications must be received by ARMA International by April 30th. Prior to being sent in they need to go through two levels of review, one by the chapter president and the second by the region manger.

    Here are the procedures from the Application process.

    Application Procedures: All applications will be submitted to your Chapter President. The Chapter President will review all applicants from the chapter, comment on each, and forward them on to the respective Region Manager. If more applications are received than the number allotted, the Region Manager will submit recommendations with applications to the ARMA International Member Services Department for review and selection. If open positions remain, once the selection is complete, the reaming applicants will be considered. International Chapters should submit their applications directly to the ARMA International Member Services Department.

    • Application must be received by ARMA International Member Services Department by April 30.

    • The Member Services and Education Departments will make final selections based on application and recommendations.

    • Applicants will be notified of ARMA International’s decision no later than June 1.


    I would like to apply the following deadlines within the region:

    • Applications due to Chapter Presidents no later than April 17th.

    Speaker Profile:
    Marcia Remington’s background includes 20+ years as both a corporate and law-firm HR manager. She specializes in career and transitional coaching using StrengthsFinder 2.0, DiSC, and People Skills assessments. In addition to the transitional coaching, she provides resume support, interview skill coaching, team building and team coaching, employee relations, conflict resolution, training and workplace development, and leadership and management coaching. She enjoys inspiring and coaching small business owners, managers, and executives as they navigate through constant change and transition. Remington has coached over 100 individuals to date.

    CALL FOR PRESENTATIONS

    The Bellevue-Eastside/Puget Sound/Greater Seattle ARMA chapters are planning a joint seminar focused on SharePoint training for records managers. Our event will be held in the Seattle – Tacoma region on May 30th, 2013.

    We are seeking proposals for sessions on the following topics:

    SharePoint 101: What should every Records Manager need to know about SharePoint?

    Out of the Box Records Management Solutions/ Implementations: Describe what SharePoint can do out of the box, how to implement an OOTB solution, tips, and best practices. Also looking for presentations of real world implementations of Records Management controls in SharePoint using OOTB tools

    Third Party Records Management Solutions for SharePoint: Describe how 3rd party solutions enhance SharePoint’s RM capabilities supported by actual implementations.

    How Do I…?: Hands on demonstrations on how to create content types, using content organizer, lists and libraries, key words and taxonomies, Records Center, workflows, etc.

    SharePoint 2013: What the future holds for Records Managers: We will consider all presentations relating to records management in SharePoint.

    2013 Election Results: New Board Members Announced


    The Election Management Task Force has announced the following results of the 2013-14 Board of Directors election:

    President-Elect:

    *Fred Pulzello, 54% - (734 votes)

    William LeFevre, 46% - (628 votes)

    Association Director - four positions:

    *Tera Ladner, 23% - (934 votes)

    *Melissa Dederer, 20% - (802 votes)

    *Todd Chernikoff, 20% - (800 votes)

    *Marc Simpson, 18% - (734 votes)

    Carol Garnham, 18% - (725 votes)

    There were 1,362 votes cast for a total participation of 15.41% of the members in good standing eligible to vote. The election was conducted by Votenet Solutions, Inc.

    Congratulations to ARMA International's new board members for their commitment to the profession and the association. Their terms will begin July 1, 2013.

    David Hastings Scholarship

    David W. Hastings Scholarship


    Former Washington State Chief Archivist David Hastings passed away on January 2, 2013. In his honor we have established a scholarship fund at Western Washington University to provide funding for graduate students in Archives and Records Management while completing an internship at the State Archives in Olympia or at one of the five regional State Archives locations.

    Thousands of researchers considered Dave Hastings the “heart and soul” of the Washington State Archives since 1976. Known for his memorized knowledge of thousands of the box locations and his 110% customer service, his tenure of more than 30 consecutive years made him the longest serving Archivist in the State Archives system. Credited with many of the major innovations and changes at the Washington State Archives, David Hastings combined his California retail grocer experience with his History degree and Archives certificate from Western Washington University to forge an outstanding career at the Washington State Archives.

    Dave’s patience and willingness to mentor young students and interns, often from WWU, was legendary. Many of them went on to successful careers in other state agencies and even the National Archives.

    It is our hope that the David Hastings Scholarship will be one more contribution of David’s outstanding career by making it possible for future generations of WWU graduates of the Archives and Records Management program to work and learn at the Washington State Archives. Following David’s example, we can make it a better place to preserve the people’s records and make them easily accessible.

    Former State Archivist Jerry Handfield and WWU archival education program director Rand Jimerson have initiated contributions to this scholarship fund, which has surpassed the $500.00 mark. We encourage your contributions in Dave’s memory. Contributions made to the David Hastings Scholarship fund at the Western Foundation are fully tax-deductible as charitable contributions.     Building your skills and talents to be competitive in the workplace is an ongoing process. ARMA offers many online classes at no cost to the ARMA Member to develop new skills and further increase ones you already have. Are you interested in studying for the CRM? Do you need a study buddy or mentor? Please let me know directly if you do at strdau@yahoo.com. Check out the ICRM website for study materials, reading these items would increase your knowledge base even if you are not formally in the CRM program.

    Have you reviewed the newest Professional Leadership Certificate Course. It is mostly multiple choice and can be completed quickly. If you are in a Chapter or Regional Leadership position, this is available to you at no cost.

    Does all the information overwhelm you, almost like cascading paper piles? Start small. Choose one item and focus on it. Take an online class and put an action plan together to tackle it. Once you experience success, it will be easier to repeat - - and besides that - - it makes you feel terrific!

    Internship Opportunity in Hawaii

    The U.S. Fish and Wildlife Service, Pacific Reefs National Wildlife Refuge Complex in Honolulu, Hawaii is currently undertaking a large records management/document digitization project and are seeking an intern for a six month position. Naomi Rowden writes,
    "Our office has several rooms of files dating back decades, documenting the history, management, and research that has taken place for 22 National Wildlife Refuges and 4 Marine National Monuments throughout the Pacific. Our main goal is to sort through the files, removing any duplicates or junk, and organize according to the U.S. Department of Interior Records Disposition Schedule. We also have contracted to create an electronic database (using Sharepoint) that is nearly complete, along with a scanner and capture software (Kofax) and we plan to scan the majority of documents into the database. In addition, we will have a large amount of reference material and we'd like to organize a reference library."

    Well, we made it through 2012 without the Mayan apocalypse, but you never know perhaps around the corner will be a Zombie’s will take over Seattle, the Seawall may collapse, or a major earthquake might take out the waterfront. Whatever you prepare for make sure you take the time to Building a Disaster Recovery Plan. This session will cover the main elements that all records managers need to understand to complete a Disaster Recovery Plan. Disaster Recovery is part of ARMA International’s Core Competencies Risk Management section.

    Sharon Burnett, CRM is a Washington State native who has worked in the records and information management world her entire career. She has worked for 3 great NW organizations – Weyerhaeuser, Microsoft, & currently Vulcan Inc. Sharon became a certified records manager in 2008. Her particular areas of R&IM interest are electronic communications management and litigation support.

    In her personal life Sharon stays busy restoring a vintage sports car, chasing her 2 Kerry Blue Terriers Rocket & Renny, and taking on various landscaping/gardening projects. Sharon is currently engaged in adding to the herd…another Kerry Blue Terrier with the hope of competing again in AKC agility!
